ONE CSV. INDIVIDUAL PAYSLIPS.

Bulk payslip generator from CSV

A bulk payslip generator turns employee rows in a spreadsheet export into separate payslip PDFs. PayDockit lets you import a CSV, map columns, review errors and create up to 100 English PDFs in a ZIP, with a status manifest for each row. Processing happens in your browser without document uploads.

How to create payslips from a CSV

  1. Download the fictional sample CSV or export your own spreadsheet as UTF-8 CSV.
  2. Open the batch workspace and choose the file. If your headers differ, map them to the supported fields.
  3. Review every row’s validation messages. Check the period dates, currency and manual pay amounts against your records.
  4. Choose Generate PDF ZIP. Review the PDFs and manifest.json before sharing the finished documents.

The sample contains fictional records. Replace those values with verified employer and employee details when preparing your own batch.

CSV fields and formatting

Each data row represents one payslip. The header row names the columns. Use plain numbers without currency symbols or thousands separators, and YYYY-MM-DD dates.

Ten supported CSV fields
ColumnMeaningEntry guidance
companyEmployer nameRequired; use the verified employer name.
employeeEmployee nameRequired; one employee record per row.
titleJob titleOptional in the payslip workflow.

deductionsManual deductionsA nonnegative amount; defaults to 0 when blank. It cannot exceed gross pay.
reimbursementsNonwage reimbursementA nonnegative amount; defaults to 0. Added to net wages to calculate cash payable.
currencyCurrency codeUse a valid three-letter currency code such as USD or GBP; blank defaults to USD. No exchange-rate conversion.
periodStartPeriod startRequired, YYYY-MM-DD.
periodEndPeriod endRequired, YYYY-MM-DD; cannot precede the start.

Only one basic-pay amount is supported per row. Separate allowance or earning columns are not imported. Use the individual salary slip generator when you need an itemized compensation breakdown.

Acme Studio,Alex Morgan,Designer,4800,420,75,USD,2026-10-01,2026-10-31,2026-10-31

Alex Morgan’s fictional row has USD 4,800 basic pay, USD 420 in entered deductions and USD 75 in nonwage reimbursements. Net wages are USD 4,380 (4,800 − 420). Cash payable is USD 4,455 (4,380 + 75). Reimbursements are kept separate from net wages.

The amounts are used as entered for the supplied pay period. They are not prorated automatically. See how gross, net and cash payable differ.

File limits, privacy and output review

Use a UTF-8 CSV no larger than 5 MB and 100 data rows. Output size and processing time depend on the records and available browser memory. PDF filenames use row numbers and period-end dates, without employee names.

Files stay in browser memory during the batch session. There is no automatic batch backup, so keep your source CSV and download the ZIP before closing. Check each row’s success, failure or cancellation status in manifest.json. Read the privacy policy and calculation scope.

Common questions about bulk payslip generation

Can I import an Excel workbook?

Export your spreadsheet as a UTF-8 CSV first. The batch workspace imports CSV files, not XLSX workbooks. You can map your existing column names to the supported fields.

Can I choose templates or download Word files in a batch?

Batch output uses the Classic A4 English payslip layout and exports PDFs in a ZIP. Use the individual payslip generator for design choices, branding, itemized earnings, hourly inputs and editable Word output.

What happens to invalid rows?

Review validation messages before export. A failed row receives an error entry in manifest.json; other valid rows can still generate. A cancelled batch stops after the current PDF and records the remaining rows as cancelled. Review the manifest and PDFs before distributing them.

Does this calculate payroll taxes?

No. Basic pay, deductions and reimbursements are amounts you enter. The batch tool does not calculate statutory taxes, exchange rates, proration or hourly pay. It does not verify employee records or transfer wages.

Does PayDockit upload or automatically save my CSV?

No. CSV parsing, validation and PDF/ZIP generation happen in your browser. The batch workspace has no advertising script or automatic draft saving. Download the ZIP before leaving; keep your own source records. Public information pages use Google AdSense.
